Record the complete shift
Store the date, start time, end time, unit or workplace and shift type. A “12-hour shift” may include an unpaid break or may run longer during handover, so use the actual scheduled times and the pay rules supplied by your employer.
Keep day and night assignments explicit
Do not rely only on color. Use labels and symbols so day and night shifts remain distinct in widgets, exports and accessibility modes. For overnight work, record the start date consistently and let the end time cross into the following day.
Separate related records
- On-call: the period when you are available but not necessarily working.
- Callback: work performed after being called in, if your workplace records it separately.
- Overtime: additional eligible work hours, based on your employer's rule.
- Education or meeting: scheduled work activity that may use a different duration or location.
- PTO, sick leave or cancelled work: non-working records that should not trigger an upcoming-shift reminder.
Build rotations from a confirmed date
Whether the schedule follows a 2-2-3 pattern, a repeating weekend arrangement or a custom sequence, anchor it to one verified workday. Generate the next cycle, compare it with the official roster, then edit swaps and exceptions individually.
Review the week and month
The weekly view helps check working hours and consecutive shifts. The monthly view reveals rotation blocks, weekends, leave and overlaps across units or employers. Both views answer different questions, so reviewing only one can hide useful context.
Treat pay as an estimate
Base rates, night and weekend differentials, holiday multipliers, overtime, unpaid breaks and bonuses can produce a useful planning estimate. Final payroll may differ because of taxes, policy details, eligibility and rounding.
