Manage multiple workplaces without mixing the details

A single calendar should show the whole month, while each workplace profile preserves its own role, location, pay settings and schedule context.

Create one profile for each meaningful work context

Separate profiles are useful when workplaces have different locations, roles, hourly rates, time zones or pay rules. If two teams share all of those details, a separate profile may add clutter without improving the schedule.

What each profile should contain

  • A recognizable profile name, such as the workplace or contract.
  • The role you perform there.
  • The correct time zone if work spans regions.
  • Base rate and eligible differentials.
  • Any profile-specific unpaid break or overtime rule.

Use one calendar to find conflicts

Once shifts are attached to profiles, review them together. Look for overlapping times, overnight shifts that finish before another job begins, travel between locations and consecutive work blocks that are easy to miss in separate calendars.

Overlap check

Compare complete start and end times, not just dates. A shift ending Tuesday morning can conflict with another shift shown on Tuesday even though the first one started Monday.

Keep rates separate

A single blended hourly rate makes monthly estimates harder to understand. Store each workplace's base rate and differentials independently, then review both profile totals and the combined estimate. The result remains a planning estimate rather than an official payslip.

Make exports understandable

Include workplace, role, date, start time, end time, hours and estimated pay when those fields are relevant. Clear profile names are especially important in CSV files, where color and card layout are not available.

Review changes at the source

Personal planners are useful for bringing several jobs into one view, but they do not receive employer updates automatically. Confirm swaps, cancellations and changed start times in each workplace's official system.
